At Schuberg Philis, we are experts in mission-critical IT, working hand in hand with our customers to keep their essential systems operating reliably and securely. Our clients are organizations at the heart of the world’s most vital industries. Founded in 2000 in the Netherlands, Schuberg Philis has grown to 500 employees working in self-steering teams across offices in Schiphol-Rijk, Rotterdam, and Eindhoven.
What We're Looking For:
As a Recruitment Coordinator, you’ll join our dedicated Recruiting & Onboarding team of nine colleagues, playing a key role in the growth and ongoing success of Schuberg Philis. Our promise of 100% quality and commitment to our customers starts with hiring the best people.
The Recruitment Coordinator is the linking pin that ensures the recruitment process runs flawlessly. This is not a purely administrative role; it is a mission-critical position that directly impacts the quality of our teams and the experience of every potential colleague. You will be the orchestrator, taking full ownership of logistics, planning, and communication that seamlessly connect every step in our recruitment process.
We’re looking for an outstanding professional who excels in taking ownership, mastering the details, and driving seamless execution - an expert who can turn even the most challenging scheduling situations into effortless experiences for everyone involved.
Your Mission - The Core Responsibilities:
As our Recruitment Coordinator, you will take full ownership of the following mission-critical processes:
- Own the Candidate Flow and Experience:
Scheduling Execution: Master the complex logistics of scheduling a high volume of interviews (phone, video, on-site) across multiple self-managing teams and offices, ensuring minimal friction and 100% reliability for both the candidate and our internal experts.
The First Impression: Collaborate with the recruiter to serve as the primary point of contact for candidates, delivering professional, clear, and timely communication that embodies our culture of quality and respect.
Interviewer Preparation: Ensure our expert interviewers are fully prepared for every interview by scheduling interview preparations and distributing in-depth interview packs.
- Drive Operational Excellence:
Data Integrity: Be the ultimate guardian of our Applicant Tracking System (ATS), ensuring every data point is accurate, up-to-date, and compliant with all relevant legislation.
Process Improvement: Proactively identify bottlenecks or opportunities for automation within the recruitment workflow. We foster a culture of continuous improvement, and we invite you to optimize the coordination process.
- Collaborate with the Onboarding Specialist on transitioning new hires to colleagues:
Offer Orchestration: Prepare and finalize contracts with speed and precision.
Onboarding Setup: Coordinate seamlessly with internal teams to ensure every new colleague has their equipment, access, and workspace ready for day one, enabling an immediate and effective start.
Documentation and Compliance: Manage all pre-employment administration, including background checks, reference requests, and necessary documentation to ensure a clean, legally sound transition to employment.
What you’ll bring:
We are looking for a colleague who embodies the Schuberg Philis values:
- Exceptional Organizational Expert: You approach complex scheduling as an exciting challenge and excel at managing multiple shifting priorities seamlessly.
- Autonomous and Responsible: You thrive in our unique, self-steering teams, where initiative and ownership are part of our DNA. You confidently take responsibility for your domain and contribute to a culture built on trust and mutual respect.
- Detail-Oriented: You have a relentless focus on accuracy; you understand that in a mission-critical environment, even a small error in scheduling or data entry can have a cascading impact.
- Relevant Experience: You bring proven experience as a recruitment coordinator or planner; ideally, you have gained this expertise within an organization similar to Schuberg Philis, where high standards and mission-critical operations are the norm.
- Tech-Savvy: You are proficient with Applicant Tracking Systems (ATS) and other modern scheduling or HR tools; experience with Greenhouse is a plus.
- Flawless Communicator: Your verbal and written communication is confident, compassionate, and crystal-clear in Dutch and English.
If you have a knack for bringing clarity and structure to complexity and want to help shape teams that make a real impact, we encourage you to apply.
Everyone we work with and consider working with has a right to equal treatment. The hiring and appraisal process at Schuberg Philis is designed to be thorough and equitable, implementing fair payment, benefits, and opportunities across all demographics.
It is our desire to be a company that brings together multiple nationalities, cultures, religions, genders, abilities, and talents within and across our teams. We welcome colleagues from diverse backgrounds to join Schuberg Philis and actively support diversity and inclusion in the tech industry.
